Registration Policies for Entomology 2013

  1. The preferred method of registering is online. 
  2. If the registration is mailed in, it must be accompanied by a registration form. The address to mail your registration form to is: ESA; c/o Wachovia Bank; Lockbox #758954; Baltimore, MD 21275-8954
  3. Payment must be in US funds
  4. Adherence to the meeting calendar will assure that your registration is processed in a timely manner.
  5. Registration forms and payment for all programs must reach the Society before September 23,2013 to ensure the Early Bird discount. Forms received after this date will be charged the regular rate. Forms and/or payment received after October 8, 2013 will be held for on-site registration.
  6. The ESA Annual Meeting incurs many up-front expenses prior to the meeting, many of which we estimate based on the expected number of attendees. A cancellation therefore often leaves ESA paying for services which will not be used. Nevertheless, we do acknowledge and understand that from time to time a person's circumstances may prevent their attendance. In response, we offer the following cancellation policy.
    • All cancellation requests must be made in writing to mem@entsoc.org or the address above.
    • Now through October 4, 2013 - full refund available
    • October 5 - 18, 2013 - refund of 80% avialable
    • After October 19, 2013 -no refunds are available for cancellations
  7. Any tour reservation must be canceled no later than October 4, 2013 to receive a refund.
  8. All refunds will be processed after the Annual Meeting.
  9. No refunds will be made for on-site registrations.
  10. If insufficient tour enrollment causes a professional or destination tour to be cancelled, ESA will issue a full refund after the meeting closes.
  11. Housing: Attendees are reminded that if they are cancelling their meeting registration they may need to cancel their housing as well. This is not done through ESA, but should be handled directly with the housing vendor(s).    
  12. Presentation: If you absolutely cannot make your presentation, please make every effort to find a replacement speaker. Nobody benefits from having gaps in the program. If you are absolutely unable to attend and cannot find a replacement, please notify the Program Co-Chairs, Dr. Marianne Alleyne or Dr. Luis Canas.
