ESA will host our first hybrid meeting offering with both in-person and virtual presentations as part of our scientific program. The Annual Meeting will combine four days of an in-person meeting with 3 months of virtual content available for all registrants to access from October 20, 2021 through January 31, 2022, allowing us to reach members all over the world, regardless of travel.

We want all our attendees to feel comfortable traveling to downtown Denver. As a presenter, if you change your mind about attending in-person, we will allow you to change to a virtual presentation format and refund the fee difference from an in-person registration to a virtual registration.

For the most efficient experience possible, all attendees should sign up for CLEAR and complete their COVID-19 proof of vaccination or negative COVID-19 test before arriving.

Full instructions on how to complete your Health Pass are below:

  1. 1) Download the CLEAR app and tap the white Health Pass tile
  2. 2) Select ‘Events’ and scroll to locate the Entomology 2021 tile (you’ll see the ESA logo)
  3. 3) Easily enroll or verify your identity with a quick selfie
  4. 4) Follow the prompts to select your screening type. Complete your proof of vaccination or link your negative COVID-19 test result.
  5. 5) Before you arrive, reopen the Health Pass tile and finish the survey to produce your pass. Be ready to show upon arrival.

Before leaving your hotel room each morning, you will need to make a new Health Pass by snapping a quick selfie and completing the health survey. Show your Health Pass at the door of the convention center and you’ll be granted entry to the center. Attendees without a green entry pass will be directed to the onsite Safety and Wellness Desk for onsite assistance. 

ATTENDEES WHO ARE NOT VACCINATED (OR PREFER NOT TO DISCLOSE THEIR VACCINATION STATUS)

  1. Get tested 72 hours prior to your arrival at Entomology 2021 (only PCR tests are accepted). In the CLEAR app, select “Get tested 72 hours before entry” and select “Nearby Testing Locations” to find a testing site near you. COVID-19 test providers that integrate directly with the CLEAR app include Quest, Labcorp, BioReference, CVS, or Vault Health.

ATTENDEES WHO ARE NOT VACCINATED AND HAVE NOT TAKEN A PCR TEST IN ADVANCE

A limited number of onsite rapid tests will be available for attendees who are not vaccinated and did not arrive with PCR test results. An onsite EMT will provide a complimentary self-administered rapid test. Upon receiving a negative result, you will be directed on how to complete your health survey each day to receive a Health Pass to enter the event. You may be asked to test again when entering the convention center.

In the event you test positive:

  • You will be denied entry to the convention center and directed to the Denver Health Urgent Care located at 1545 California St. for a PCR test.
  • While waiting for your PCR testing results, we require that you quarantine from other Entomology 2021 attendees.
  • ESA will follow up with you and your host hotel regarding your quarantine. Depending on your host hotel, you may be asked to depart the hotel early. ESA will assist in relocating you to another facility while you quarantine.
  • ESA will assist you in rebooking your travel home (if a long-term quarantine is required).
  • ESA will check in with you daily on how you are feeling, collect data on any symptoms that have developed until your quarantine period is over. We may turn that data over to the local Denver Health Department.
  • Depending on the time it takes to receive the results from the PCR test, you may not be allowed to enter the convention center.  
  • FOR THIS REASON – WE RECOMMEND TESTING IN ADVANCE BEFORE TRAVELING TO DENVER.

ATTENDEES WITHOUT THE CLEAR APP

Don’t have the CLEAR app? You will be directed to our onsite Safety and Wellness Desk to help you set up your app or to confirm your vaccination status or negative test result. Please bring a copy of your vaccination card or a printout of a negative PCR test taken within 72 hours before entry.

HELP KEEP OUR COLONY THRIVING! DAILY HEALTH SCREENING

As a reminder, we ask all attendees to stay home if they are sick or are exposed to a COVID-19 positive person within 14 days of arrival to the meeting. Below are the questions you will be asked daily to access the convention center via the CLEAR app or at the Safety and Wellness Desk.

In the past 10 days have you experienced any of the following new or worsening symptoms?

  1. Loss of taste or smell
  2. Sinus congestion or runny nose
  3. Persistent cough
  4. Shortness of breath or difficulty breathing
  5. Fever

In the past 10 days have you experienced any of the following new or worsening symptoms?

  1. Headaches or sore throat
  2. Severe muscle aches
  3. Fatigue
  4. Nausea, vomiting, diarrhea or loss of appetite

In the past 14 days, have you been diagnosed with COVID-19 or asked to quarantine?

In the past 14 days, have you had close contact or high-risk exposure to someone with an active or suspected case of COVID-19?

  • This would include being less than 6 feet away for more than 15 minutes in a 24-hour period or direct contact with mucus or saliva.

In the past 10 days have you been asked to get a COVID-19 test due to symptoms or risk of exposure and are still waiting for the results or received an inconclusive result?

If you had a severe case of COVID-19, are you still within 20 days of your last symptom?

Note: If you are unsure what a severe case of COVID-19 is, please consult your healthcare professional. 

*Green means you are good to enter the convention center. Amber means you need to stop by our Safety and Wellness Desk for additional follow up. Red means you are not allowed to enter the convention center. Please contact us at XXX if receive a red screen.

FACE COVERING POLICY

In accordance with updated health and safety guidelines from the Centers of Disease Control and Prevention, all individuals are required to wear face coverings in all indoor locations, regardless of vaccination status.

Our expectation is that we will all practice protocols that reflect this “spirit of respect and care” for our community throughout the event. We will continue to actively monitor local, state, and federal guidelines and we may further adjust our well-being protocols if local conditions change as we get closer to the event.

ADDTIONAL ONSITE INIATIVES

  • Sanitation stations throughout the convention center and hotel meeting space with nightly deep cleaning/sanitation.
  • Expanded square footage to allow better movement through our indoor meeting space.
  • Larger session rooms with clear entrances and exits to manage flow.
  • Larger exhibit hall with wider aisles and separate exhibit booths spaced 6-10 feet apart.
  • Touchless registration including pre-mailing attendee badges.
  • Eliminated a printed program book to allow real time presenter changes.
  • Mask requirements within the convention center and hotel meeting space (masks can be removed by presenters at the podium).
  • Hand sanitizer provided at all shared computer stations.
  • Reduced soft surfaces including eliminating exhibit carpet to allow for nightly deep cleaning/sanitation.
  • New safety protocols for exhibitors from setup to teardown will be implemented in partnership with the CCC and Freeman Decorating.
  • Waived cancellation fees for attendees who choose not to attend the in-person meeting.
  • All presenters may choose to present a pre-recorded, on-demand presentation loaded to the virtual platform.
