North Central Branch Presenter Information

The virtual North Central Branch meeting will feature both live and pre-recorded presentations, in addition to ePosters. Instructions for how to prepare your presentation(s) are listed below. It is important to note that pre-recorded presentations and ePosters need to be uploaded online by Thursday, May 27

Live Presentations (Symposia and Plenary)

Symposia and plenary sessions will be presented live during the Virtual North Central Branch Meeting. 

Live sessions will take place June 21-23. All sessions will be recorded and made available on-demand for attendees to view at their leisure through July 31. 


Presentation Guidelines:

All live sessions will be hosted in Zoom Meeting (symposia) or Zoom Webinar (plenary). Presenters in all live sessions should expect to:

  • Finalize slides by the date of your session.
  • The aspect ratio (ratio of width to height) for slides should be set to 16:9.
  • The device from which you are presenting will need a functioning microphone. 
  • Plan to present in a quiet location of your house or office with sufficient lighting and internet connectivity.
  • Review your home or office bandwidth to ensure your internet connection is stable.
  • Practice using Zoom in advance of the meeting. Be familiar with audio and screen controls including muting and unmuting yourself and sharing your screen.
  • Block off your calendar for the full duration of the session in which you are presenting.

Presenting Live:

  • Join your session 15 minutes prior to the start of the session. 
  • The organizer/moderator of your session will make you a co-host of the meeting so you have audio and screen share functionality.
  • Have your slide deck queued and ready for your turn to present. You will be sharing your slides via screen share. 
  • Keep to your assigned presentation duration to help keep the session running on time. 
  • Questions will be posted in the chat and read aloud by the moderator if time allows at the end of your presentation, or during the discussion at the end of the session, as applicable.

Photography & Social Media:

Be clear with attendees about whether you grant permission for your presentation to be photographed or shared on social media. Download these images and insert them in the corner of your slides. (To download, right-click your chosen image and and select “Save Picture As…” or "Save Image As..." to save it to your computer.)

Pre-Recorded Presentations (Contributed and Student 10-min)

All contributed and student competition 10-minute talks will be on-demand for the Virtual North Central Branch Meeting. On-demand content will be posted to the Virtual North Central Branch Meeting program on Monday, June 21 and will remain online for attendees to view at their leisure through July 31.


Presentation Recording & Upload Instructions:

Presenters will be notified via email when they are able to upload their presentations online. Presentation uploads will be open May 6-27. All presenters must upload their presentations by the May 27 deadline.

Important Guidelines:
  • Do not use the recording capability built into PowerPoint since that will usually not result in a good recording. Instead, please use an application that is actually designed for high-quality screen capture and voice recording. We recommend:
    • For Mac -- use the screen recording feature built into QuickTime Player, and uploading the recording as a Quicktime (.mov) file
    • For Mac -- use the screen recording feature built into Keynote (included with most Apple devices), and upload the resulting M4V file. To edit the recording created with Keynote we recommend iMovie (included with most Apple devices). Please save your file as: Resolution:1080p, Quality: high, and Compress: Best Quality and send us the MP4 recording.
    • For Windows -- use Flashback Express (very easy to use, free forever), and upload the Flashback (.fbr) file.
    • For Windows or Mac -- use TechSmith Snagit (free 15 day trial), and upload the MP4 recording.
    • For Windows or Mac -- use Zoom Meeting Application (free account), and upload the MP4 recording.
  • Do not record your screen with a higher resolution than 1920 x 1080.
  • You may choose whether to record your webcam along with your presentation or if you prefer to record slides and audio only.
  • Presentations may be no longer than 10-12 minutes in duration.
  • If needed, detailed instructions on how to record your presentation utilizing each of the above platforms is available in your Speaker's Corner link (sent via email).

Once your presentation recording is completed, access your Speaker's Corner link (sent via email by May 6) to upload the file. Detailed instructions on how to upload your recording are available in Speaker's Corner. 


Photography & Social Media:

Be clear with attendees about whether you grant permission for your presentation to be photographed or shared on social media. Download these images and insert them in the corner of your slides. (To download, right-click your chosen image and and select “Save Picture As…” or "Save Image As..." to save it to your computer.)

Poster Presentations (Contributed and Student)

All posters (contributed and student competition) will be on-demand for the Virtual North Central Branch Meeting. On-demand content will be posted to the Virtual North Central Branch Meeting program on Monday, June 21 and will remain online for attendees to view at their leisure through July 31.


Poster Design & Upload Instructions:

Presenters will be notified via email when they are able to upload their posters online. Poster uploads will be open May 6-27. All presenters must upload their poster by the May 27 deadline.

Create your ePoster file using the following guidelines:
  • Create your poster using one slide only.
  • Poster dimensions should be set to 43.6" (110.7 cm) w x 24.5" (62.2 cm) h in landscape orientation. Download the sample template.
  • Minimum font: 24-28 pt
  • For embedded images, use .jpg or .png files with a resolution of 72 or 96 dpi.
  • Do not use animations or videos.
  • Recommended font types: Calibri, Arial, Times New Roman
  • Save your PowerPoint as a PDF

Once your ePoster file is created, access your Speaker's Corner link (sent via email by May 6) to upload the PDF file. Detailed instructions on how to upload your ePoster are available in Speaker's Corner.
