Eastern Branch Presenter Information

In-Person Oral Presenters

Presentations should be created in a format compatible with PowerPoint (.pptx) and formatted in a 4:3 aspect ratio. All meeting room computers will be PCs, so a presenter who creates a presentation using a Mac should test the file on a PC computer prior to the meeting. 

Student Competition 10-min Presenters:

Student competitors must provide their presentations to the Student Competition Chair, Brenna Traver, by 7:00 PM Sunday, April 24. You will not be able to upload your presentation the day of the session. There are two ways to provide your presentation: 

  • Brenna will be available in the Ballroom Foyer near registration from 5:00 - 7:00 PM on Sunday, April 24. This will be the only time available for student presenters to upload onsite and the only time to do a quick check of your presentation prior to the session.
  • If you will not be at the meeting during that time on Sunday, you can (and are encouraged to) submit your presentation to Brenna electronically before the meeting. You will receive an email from Brenna that contains a OneDrive File Request.

Symposia Presenters:

Presenters in symposia are requested to provide their symposium organizer with their presentation prior to the start of the session. Please coordinate the details directly with your symposium organizer. 

Regular 10-min Presenters:

Presenters in the regular 10-minute paper session should provide their presentation to Anna Wallingford in advance of the session. You will receive an email from Anna with additional information. Please contact Anna directly with any questions.

In-Person Poster Presenters

Poster Size: Posters must be contained within the 46x46 inch (117x117 cm) space provided. The poster must not exceed the size limit.

Setup and Removal:

Student Posters
Setup: Monday, April 25, 7:30 AM - 10:00 AM
Removal: Monday, April 250, 6:00 PM - 7:00 PM

Contributed Posters
Setup: Monday, April 25, 7:00 PM - 8:00 PM
Removal: Tuesday, April 26, 2:00 PM - 3:00 PM

Bring your own Velcro strips or tacks to secure your display to the poster board. Posters should be hung in their assigned space according to the poster number assigned (to be listed in the online program by early April).

On-Demand Oral Presenters

Presenters will be notified via email when they are able to upload their presentations online. All presenters must upload their pre-recorded presentation by Friday, April 15 at 11:59 PM Eastern US. 

Important Guidelines:

  • Do not use the recording capability built into PowerPoint since that will usually not result in a good recording. Instead, please use an application that is actuall designed for high-quality screen capture and voice recording. We recommend:
    • For Mac: Use the screen recording feature built into QuickTime Player, and uploading the recording as a QuickTime (.mov) file.
    • For Mac: Use the screen recording feature built into Keynote (included with most Apple devices), and upload the resulting .m4v file. To edit the recording created with Keynote, we recommend iMovie (included with most Apple devices). Please save your file as: Resolution: 1080p, Quality: High, and Compress: Best Quality and upload the .mp4 recording.
    • For Windows: Use Flashback Express (very easy to use, free forever), and upload the Flashback (.fbr) file.
    • For Windows or Mac: Use TechSmith Snagit (free 15 day trial), and upload the .mp4 recording.
    • For Windows or Mac: Use Zoom Meeting (free account), and upload the .mp4 recording.
  • Do not record your screen with a higher resolution than 1920x1080.
  • Presentations may be no longer than 10-12 minutes in duration.
  • If needed, detailed instructions on how to record your presentation utilizing each of the above platforms is available in your Speaker's Corner link (to be sent via email). 

Once your presentation recording is completed, access your Speaker's Corner link (to be sent via email) to upload the file. Detailed instructions on how to upload your recording are available in Speaker's Corner.

On-Demand Poster Presenters

Presenters will be notified via email when they are able to upload their posters online. All presenters must upload their poster by Friday, April 15 at 11:59 PM Eastern US.

Create your ePoster file using the following guidelines:

  • Create your posters using one slide only.
  • Poster dimensions should be set to 43.6 inches (110.7 cm) x 24.5 inches (62.2 cm) in landscape orientation. Download the sample template.
  • Minimum font: 24-28 pt
  • For embedded images, use .jpg or .png files with a resolution of 72 or 96 dpi.
  • Do not use animations or videos.
  • Recommended font types: Calibri, Arial, Times New Roman
  • Save your PowerPoint as a PDF

Once your ePoster file is created, access your Speaker's Corner link (to be sent via email) to upload the PDF file. Detailed instructions on how to upload your ePoster are available in Speaker's Corner.
